Standardize your Group Set-up

Once you have Group Admin Access you will need set up your Group so that your accounts receive all the Forms they need to be compliant with your Food Control Plan.


You can set Forms, User Groups, Resources, and Suppliers at Group Level. All this information will then pass down to the accounts within your Group and ensure that they have standardized information. This is great for ensuring that compliance is being achieved and enables easy reporting.

Customising Forms 

You can set/customise Forms in your Group and these will go into all the accounts in your Group. You can set your Food Control Plan from Group and also add in any extra Forms you need. If there are certain Forms in Safe Food Pro that you know do not fit your business needs simply turn them off at Group Level | Turning Forms Off 

To create/edit Forms at Group Level: 

  1. Select the Forms Tab on the left hand side of the Dashboard
  2. Click on the green plus button to create a new Form
  3. Click on the pencil icon next to the a Form to edit an existing Form 

When you have created a new Group form it will be identified with a Group icon.

An additional feature for Group admins is the ability to lock forms.  Slide the slider across and your sites will not be able to edit the form.  They will still be able to change the schedule, user groups and add email recipients.

Creating User Groups 

You can set User Groups at Group Level and attach them to relevant Forms. This works the same as at account Level - you can read about this here. User Groups set at Group Level cannot be deleted from an account Level.

To create User Groups:

  1. Login to the Group Admin Login 
  2. Select the Group Detail Tab
  3. Select Settings
  4. Add in your User Groups
  5. Hit SAVE to lock those changes in

Adding Resources 

If you have any documentation/policies/sops etc. that need to be accessible in all the accounts in your Group you can easily upload those into the Resources Tab at Group. It is important to note that  Resources which have been uploaded at Group cannot be deleted at the account level. 

To load Resources in:

  1. Login to the Group Admin Login 
  2. Click on the Resources Tab
  3. Click on the green plus button and upload your resource 

You can upload four types of Resources:

  • Documents | Any documents, templates, and policies that are applicable to all your accounts and need to viewed by the Team
  • Food Items | If you have Food Items which apply to all the accounts in your Group upload them here 
  • Certificates and Permits | Any general certificates that apply across your Group 
  • Fault Reasons/ Corrective Actions | If you have general snippets for Blue Notes that you would like to apply to your group upload them here

Adding Suppliers 

If you have goods/service providers that supply to all the accounts in your Group you can set them up at Group. These will auto populate in all your accounts and they cannot be deleted from the account level. 

To add in Suppliers:

  1. Login to the Group Admin Login 
  2. Click on the Suppliers Tab 
  3. Click on the green plus button and load in your Suppliers - you can bulk upload these as well

Setting Equipment Limits

If you have set limits for the temperatures of your equipment say Fridges and freezers then these can be set for the whole group.

To set limits:

  1. Login to the Group Admin Login 
  2. Click on the Group Detail
  3. Click on the Settings Tab and scroll down to the Equipment Categories section.
