Adding Training Certificates & Permits

Want to store First Aid Certificates, Food Safety Certificate, Certificate of Registration or a Team Member's Qualifications? 


Certificates & Permits are a great way to be reminded of certain expiry dates you need to keep track of.

Types of Certificates & Permits

There are two different ways you can add your Certificate/Permit Resource, you can either:

Make them an Attached Resource, so they belong to a User, Equipment or Supplier e.g. First Aid Certificates, Food Safety Qualifications, Supplier Certificates etc. These Resources can only be viewed by the Administrator, Manager, Tablet (Manager) or User who's Resource it is.

Make it a General Resource, these can be added from the Resources page on the Web and can be viewed by everyone who has access to the Administration Console. e.g. Certificate of Registration, Food Safety Certificates etc. 

Note: Resources have a 3MB size limit. If you have files that are larger add them to a Google Drive (or similar File Storing System) then upload the shareable link as a URL Resource.

Add Certificates & Permits

Adding as an Attached Resource - for this example we will be attaching a Resource to a User but it is the same steps to attach to Equipment or Suppliers: 

  1. Login to your Administration Console (Web).
  2. Go to Business & Users.
  3. Click Users.
  4. Add a new User or Edit an existing one.
  5. Click the Green Plus button.
  6. Select whether you want to upload a File or URL Resource.
  7. Click Resource Type and select Certificate or Permit.
  8. Fill in the rest of your Resource Details, attach your Resource & SAVE.


Adding a General Resource

  1. Login to your Administration Console (Web).
  2. Go to Resources.
  3. Click Certificate or Permit.
  4. Click the Green Plus Button.
  5. Select whether you want to upload a File or URL Resource.
  6. Fill in the rest of your Resource Details, attach your Resource & SAVE.




Viewing your Certificate/Permit

If you want to view the Certificate or Permit you've added, you can do this by: 

  1. Go to Resources.
  2. Click Certificate or Permit.
  3. You should see you Resources added in the List.
  4. Resources attached to a User, Supplier or Equipment will be Shown with an icon and what it belongs to. General Resources will be blank. 
Note: You can only view Certificates/Permits attached to a User from the Web. This is for Privacy Reasons.


Monitoring your Certificate/Permit

You can monitor the expiry date of your Certificates & Permits through both User Notifications and the Dashboard status. 

Dashboard Status: 

  • Login to the Admin Console (computer side)
  • Scroll down until you see the section that says Certificates and Permits - you will be able to see what Certificates/Expiring soon

Setting User Notifications: 

  • Login to the Admin Console (computer side)
  • Click on the Staff and Users tab on the left hand side of the Dashboard 
  • Click on the Pencil Icon next to the person you want to turn Notifications on for 
  • Scroll down to User Notifications and turn on the one that corresponds to Certificate Expiry
